PURPOSE:

A budget ordinance is requested for the Network Services fund to upgrade the software of approximately 3,000 City of Greensboro staff from Microsoft Office 2007 to Microsoft Office 2016.

BACKGROUND:

The Network Services Division of the Information Technology Department is responsible for providing up-to-date software applications and support for over 3,000 City of Greensboro staff.

The last update to the City’s email and back-end office software happened nearly ten years ago with the installation of Microsoft Office 2007. This version of Microsoft Office will no longer be supported by the manufacturer in 2017.

As a result, IT finds it necessary to upgrade the organization from Microsoft Office 2007 to Microsoft Office 2016.

BUDGET IMPACT:

The total amount of the software upgrade will be $761,247.  A budget ordinance is required to appropriate funds for this expense to the following account:

                     Network Services Fund FY16-1:  682-0720-02.5212

RECOMMENDATION / ACTION REQUESTED:

It is requested the City Council approve the Ordinance for a fund balance appropriation in an amount of $761,247.
