PURPOSE:
The Planning Department is responsible for mowing and lot clean up of properties owned by the Redevelopment Commission and Greensboro Housing Development Partnership. The Department plans to renew a one-year Contract #2015-10254 for Mowing and Lot-Clean Up Services. The increased contract value will exceed $100,000, which requires City Council approval.

BACKGROUND:
The Centralized Contracting Division conducted an online solicitation for Mowing and Lot Clean Up Services through the Greensboro Electronic Procurement System (GEPS) in 2015. The company, J.W. Wright, a North Carolina certified MBE firm, was awarded a contract through June 30, 2016 based on being the lowest, responsive, responsible bidder. The rebidding of this contract used an alternative unit pricing on the mowing (square foot versus estimated by the job) and is saving approximately $40,000 per year over the costs of the prior contract.

Both the Department and the Contractor wish to renew the current agreement for a second year at the same unit pricing. The estimated annual cost under the current contract is $140,700.

BUDGET IMPACT:
Funds are anticipated to be budgeted in the 2016-17 fiscal year. Future appropriations are subject to City Council approval.


RECOMMENDATION / ACTION REQUESTED:
The Operating Department, M/WBE Office and Centralized Contracting Division concur in the recommendation for City Council approval of the resolution authorizing a one-year renewal for contract # 2015-10254 for mowing and landscaping services.
