PURPOSE:
City Council authorization of contracts totaling $100,000 or greater is required. Guilford Metro 911 is submitting this maintenance agreement for Council's consideration.
 
 
BACKGROUND:
Guilford Metro 911 uses SunGard Public Sector Emergency Communication and CAD software.  Annual Maintenance services are required to keep the software at the emergency operations center up to date and operational.    The City has used this highly specialized software for emergency services since 2003 and plans to continue with this unique and system compatible software. Because it is City policy to authorize contract renewals for up to five years, and because the Department plans to continue using this software for this period based on satisfaction with the system and maintenance service, authorization for this software maintenance contract is being requested for the next five years.
 
BUDGET IMPACT:
The annual cost of services for the SunGard software maintenance in 2014-15 is $189,879.  Partial funding ($129,346.72 ) for this project is being provided through the State of North Carolina 911 fund, (281-3903-01. 5621).   Funding for the remaining $48,525.18 is available in the current support services fiscal year budget (687-3905-01.5621).
 
RECOMMENDATION / ACTION REQUESTED:
Based on the current intent of the Department, City Council is requested to authorize a software maintenance agreement with SunGard Public Sector for the next five years for a total estimated value of $977,873 including a potential annual increase of up to 3%.
